CLASS SUMMARY:

Incumbents are responsible for performing routine clerical support activities using established, defined procedures and limited knowledge of rules and regulations.

 

DISTINGUISHING CHARACTERISTICS:

The Administrative Assistant is the first level in a four level administrative support series.  The Administrative t Assistant is distinguished from the Administrative Technician, which is responsible for performing a wider variety of administrative support activities requiring greater knowledge and understanding of rules and regulations pertaining to programs and/or services offered.

 1.

Inputs a variety of information into databases and/or spreadsheets, which may include: test scores, absences, excuses, tardies, detentions, suspensions, violations, student information, referrals, and other related information; prepares routine reports based on information in databases and/or spreadsheets.

Answers phones and greets students, parents, and administrators, which includes: directing calls to appropriate parties and providing information; and disseminating other related information. Contacts parents regarding student absences;

Prepares, verifies, and distributes a variety of information, which may include: AIMS letters, student lists, student withdrawals, time sheets, student identifications, detention slips, and other related information.

POSITION SPECIFIC RESPONSIBILITIES MIGHT INCLUDE:

 

 

Positions assigned to food services may be responsible for:

  • Performing and processing inventory transactions;
  • Verifying produce and other related orders.

 

Positions assigned to bilingual assistance may be responsible for:

  • Translating English and Spanish for teachers, parents, staff, and administrators, both verbally and in writing.

 

Positions assigned to the nurse’s office may be responsible for:

  • Assisting with tracking and dispensing medications;
  • Preparing attendance reports and truancy letters;
  • Administering first aid;
  • Taking temperatures;
  • Filing student medical records
  • Assisting in screening students
  • Verifying immunizations

Training and Experience (position requirements at entry):

High School Diploma or a General Equivalency Diploma (G.E.D.), or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.

 

Licensing Requirements (position requirements at entry):

None Required.

 

Physical Requirements: 

Positions in this class typically require: stooping, kneeling, crouching, reaching, fingering, grasping, talking, hearing, seeing, and repetitive motions.

 

Some positions may require: climbing, pushing, pulling, and lifting.

 

Incumbents may be subjected to extreme temperatures, blood, and other bodily fluids.

 

Light Work: Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or negligible amount of force constantly to move objects.  If the use of arm and/or leg controls requires exertion of forces greater than that for Sedentary Work and the worker sits most of the time, the job is rated for Light Work.
